This case study details the implementation of a Virtual Desktop Infrastructure (VDI) solution at Kyoto University to address challenges related to the underutilization of ICT labs, limited faculty access, connectivity issues, high operational costs, and administrative challenges. The university aimed to consolidate its ICT labs into a shared service to enhance accessibility for students and faculty while reducing costs. The VDI solution, branded as HyLabs, allows for centralized lab management, self-service access for faculty and students, seamless integration with the university's Learning Management System (LMS), and automated issue resolution. Key features include automated lab scheduling, remote access, faculty-controlled lab management, on-demand reservations, and smart error resolution. The results of this implementation included significant cost savings, enhanced accessibility for students, improved faculty efficiency, increased resource utilization, and a reduced IT workload. The case study serves as a model for other educational institutions seeking to modernize their IT infrastructure.
