This case study outlines the challenges faced by Seattle Public Utilities (SPU) in managing their engineering records through an outdated system known as 'The Vault'. The Vault, built in the 1990s, became inflexible and slow, leading to discrepancies in metadata and cybersecurity concerns. SPU sought a new Engineering Drawing Management System (EDMS) to improve accessibility and efficiency. Partnering with Accruent, SPU transitioned to a cloud-based solution, RedEye, which significantly enhanced their data management capabilities. The implementation of RedEye allowed SPU to migrate public record processes online, reducing office visits and increasing processing speed fivefold. The case study details the careful planning involved in the migration process, including data cleanup and organization, which resulted in a streamlined operation. The successful transition demonstrates the potential for digital solutions to transform legacy systems and improve operational efficiency while securing valuable data for the future.
