This case study details the implementation of a customized motor pool management system at the East Bay Municipal Utility District (EBMUD) in Oakland, California. EBMUD, which provides drinking water and wastewater services to millions, faced inefficiencies in its motor pool operations due to outdated manual processes. The organization utilized a physical punch clock and an online form for vehicle reservations, leading to significant time loss and resource mismanagement. To address these issues, EBMUD adopted AssetWorks KeyValet software, which automates vehicle reservations, check-outs, and maintenance tracking. The integration with AssetWorks FleetFocus enhances real-time vehicle availability, improving operational efficiency. Additionally, the system was customized to allow users to select specific vehicles, accommodating EBMUD's unique parking constraints. The transition to the new system required minimal training, and feedback from staff has been overwhelmingly positive, highlighting the immediate availability of vehicles and the reduction in administrative delays. This case study illustrates the benefits of automation in fleet management for public utilities.
