This case study outlines the implementation of the PaperVision® Enterprise system by the San Antonio Independent School District's Federal Programs Department (FPD) to address significant document management challenges. Prior to the system's implementation, the FPD faced issues with excessive paper records, time-consuming retrieval processes, and limited storage space, which hindered productivity. The case study details how the new Enterprise Content Management (ECM) system has streamlined the management of incoming documents, allowing the department to save 900 hours annually and significantly reduce labor costs. The FPD now efficiently handles approximately 1,500 daily requests and has improved the speed of document retrieval from an average of six hours to under thirty minutes for auditing purposes. Furthermore, the system has facilitated better communication within the department and with other schools, enabling immediate responses to inquiries. Overall, the PaperVision Enterprise system has proven to be a successful solution for the FPD's operational challenges.
