Medical University of South Carolina HR Records Digitization

This case study details the challenges faced by the Medical University of South Carolina (MUSC) due to a backlog of paper human resources files as the institution expanded. The document outlines issues such as difficulties in locating records, inefficient manual processes, and the risk of legal complications from retaining documents beyond their required retention dates. To address these challenges, MUSC partnered with Docufree, a document management company, to implement a large-scale digitization project. The process involved transferring HR files to Docufree's facility for scanning and indexing, which significantly improved document accessibility and retrieval times. The project was completed in approximately two months, resulting in enhanced disaster recovery capabilities and the conversion of storage space into usable office areas. The collaboration not only streamlined records management but also allowed MUSC staff to focus on more productive tasks, demonstrating the effectiveness of digitization in managing extensive paper records.
