Municipal Records Management Case Study for Prospect Park

This case study outlines the partnership between the Borough of Prospect Park and Daida to enhance municipal record management through cloud-based document digitization. The objective was to transition from paper records to secure electronic files, thereby improving document accessibility and operational efficiency. Daida implemented a comprehensive solution that involved electronic conversion of paper documents, intelligent indexing, and secure cloud storage. This enabled authorized personnel across various departments to efficiently manage and retrieve documents, while ensuring compliance with New Jersey DORES requirements. The project addressed challenges such as a backlog of archived records and the increasing difficulty of fulfilling OPRA requests. As a result, approximately 1.9 million document images are now securely managed, significantly improving operational workflows and document retrieval processes for the Borough. The initiative demonstrates a successful approach to modernizing municipal record management systems.
