This document is a case study detailing the implementation of the Gimmal Physical records management system by the Texas State Library and Archives Commission (TSLAC). TSLAC oversees a significant inventory of physical records, including 390,000 boxes of paper and 1.7 million sheets of microfiche. The case study outlines the challenges faced by TSLAC with legacy systems and the need for a sophisticated solution to manage records for over 80 state agencies and local governments. The Gimmal Physical system was introduced in 2015 to streamline inventory management and improve operational efficiency. Key features include space management across two facilities, a billing module for specialized services, and retention guidance for over 150 records retention schedules. The implementation has resulted in cost savings and enhanced service capabilities. Future plans include expanding scanning services and integrating more agencies into the system to further improve efficiency. The case study highlights the positive impact of Gimmal Physical on TSLAC’s operations.
