This case study details the implementation of an electronic document management system by the Town of Ajax, a municipality in Ontario, Canada. With a population of approximately 110,000, the town aimed to replace its paper-based documentation system, which had become inefficient and cumbersome. The municipality faced challenges with managing 27 sets of binders containing ISO 9001 quality documentation, leading to issues with version control and audit preparedness. The selected solution, provided by Intelex, streamlined document control processes and centralized access to critical documents. Key priorities included reducing time spent on document management, ensuring version control, and maintaining compliance with ISO 9001 standards. The implementation resulted in the upload of over 10,000 documents into the Intelex system, significantly improving efficiency and simplifying document retrieval. The case study highlights the successful transition from a paper-based system to a digital solution, enhancing the town's operational capabilities and audit readiness.
