This case study outlines the implementation of a fully digitized building permit process by the district of Warendorf in North Rhine-Westphalia, Germany. The objective was to streamline the building permit procedure without waiting for the scanning of old files. Iron Mountain's Image On Demand service was selected to ensure secure compliance throughout the collection, transportation, imaging, and destruction of paper files. The project involved digitizing approximately 100,000 files, which included a variety of document types, to facilitate faster access and collaboration among staff. The case study details the logistical challenges faced, including the need to manage overflowing archives and the importance of having all property-related information in digital form. The transition to digital files has resulted in significant efficiency gains, allowing staff to work remotely and reducing the manpower required for file access. The anticipated payback period for this investment is estimated at 10 to 15 years, driven by job savings and improved internal processes.
