This case study outlines how Baptist Health System addressed inefficiencies in their operating room (OR) scheduling process. The health system faced several challenges, including disparate processes for submitting case information, multiple communication channels leading to high call volumes, and issues with omitted or inaccurate information. To improve this situation, Baptist Health partnered with LeanTaaS to develop an electronic case scheduling system called Schedule. This system provides a single source of information for clinic schedulers, streamlines the submission of case information, and standardizes processes across the system. As a result, the health system achieved significant improvements, including a 46% reduction in abandoned calls, an average increase of four additional cases scheduled daily per hospital, and a 50% decrease in average call handle time. The implementation of this system has also facilitated better workload balance for OR schedulers, contributing to increased employee satisfaction.
