This case study details the digital transformation initiative undertaken by the County of Lambton, an upper-tier municipal government in Ontario, Canada. The objective was to digitize over 500 bankers' boxes of paper records to enhance staff access, secure data storage, and reclaim office space. The County's Building Services Department faced challenges due to the large volume and varying quality of records, necessitating a vendor with expertise in digitization. Following a competitive bidding process, Image Advantage was selected as the digitization partner. The project involved secure transportation of documents, detailed preparation, digitization into searchable PDF files using Optical Character Recognition (OCR), and proper indexing for easy retrieval. The results included improved accessibility of records for staff, efficient use of office space, and enhanced data security through digital storage. This initiative illustrates the importance of effective document management in modern municipal operations.
