This case study details the collaboration between McKenzie Lake Lawyers and Bay Area Records for the digitization of over 1,100 Minute Books. The law firm, which has a significant presence in Ontario, faced challenges in relocating its physical library of Minute Books during a move to a new office. The Minute Books contained important records for active clients, necessitating regular access. Bay Area Records was selected for its expertise in digitization and adherence to privacy and accuracy standards. The project involved packing and shipping the Minute Books to Bay Area Records, where a detailed inventory was created to track the status of each book. Upon completion, all Minute Books were returned in digital format, ensuring compliance with legal standards. The success of this initial project led to further engagement in 2022, where additional Minute Books were digitized and integrated into the firm’s electronic records system. This case study illustrates the effective partnership and the benefits of digitization for legal records management.
