This case study outlines the data discovery and management efforts undertaken by Queensland Museum to enhance information visibility and access. The museum faced challenges in managing over 20TB of data across various repositories, including sensitive information related to Australia's First Nations communities. To address these issues, the museum partnered with WyldLynx to implement Voltage Fusion, a solution designed for effective data lifecycle management and compliance with data privacy regulations. The project revealed significant findings, including 11% of files being duplicates and 38% being obsolete, leading to anticipated annual storage savings of over $60,000. The case study details the museum's approach to optimizing its electronic document and records management system, improving data governance, and ensuring secure access to valuable historical files. The implementation of automated workflows and enhanced data visibility supports the museum's mission to preserve and share Queensland's natural and cultural heritage while managing sensitive data responsibly.
