This case study outlines the implementation of SaaS license management at ModMed, a specialty-driven electronic health record provider. The document details the challenges faced by ModMed in managing software licenses using spreadsheets, which led to incomplete and inaccurate data. To address these issues, ModMed partnered with Zylo to automate license management processes. The IT team executed deprovision workflows, reclaiming 2,687 licenses and achieving $1.3 million in cost avoidance. The collaboration with the Procurement team facilitated rightsizing of licenses and cancellation of unused applications, resulting in $1.5 million in cost savings. The establishment of a centralized SaaS system of record was achieved using Zylo's Discovery Engine, which categorized 224 applications and integrated usage data for 157 applications. This automation has streamlined operations and improved data accuracy, allowing ModMed to confidently present information to executives and optimize software licensing on an ongoing basis.
